The fastest way to improve ATS language optimization resume writing is to repair the file first, then tailor it to one job. Use a readable file, standard headings, 8 to 12 accurate terms from the job description, and five quantified bullets. Finish with a plain-text paste test before you apply.

An applicant tracking system parses your resume before a recruiter may read it. Different employers use different systems and settings. A public checker can reveal likely issues, but it cannot prove what a specific employer's system will produce.

The repair sequence

Complete these steps in order. Do not start by adding random keywords. A clean structure comes first.

1. Save the right file

Check the application instructions. If the employer asks for DOCX, submit DOCX. If it accepts PDF, use a text-based PDF with selectable text. Do not upload a scanned image of your resume.

Open the final file and try to select a sentence with your cursor. Copy it into a basic text editor. If you get no text, broken symbols, or an empty result, repair the file before applying.

Use a simple filename such as:

FirstName-LastName-Target-Role-Resume.pdf

Avoid a filename such as resume-final-final2.pdf. The filename will not fix a weak resume, but a clear name makes your upload easier to identify.

2. Remove columns, tables, and text boxes

A two-column design can look efficient on screen but produce scrambled reading order after parsing. Tables, floating text boxes, icons, sidebars, headers, and footers can also separate labels from their content.

Put the resume in one vertical reading order. Keep contact details in the main body. Use ordinary text for phone, email, location, and links. Remove decorative graphics and skill bars.

3. Rename headings with standard labels

Use headings that a parser and a human can identify quickly. Creative headings consume space without adding useful information.

Use this headingAvoid this headingPut here
SummaryMy StoryTwo or three lines about your fit
SkillsWhat I Do BestTools, methods, and relevant capabilities
Professional ExperienceCareer AdventureJob history and achievement bullets
EducationAcademic PathDegrees, schools, and dates
CertificationsBadgesRelevant credentials
ProjectsSelected WinsRelevant work outside formal employment

You do not need every heading. Use the sections that match your background. Keep the spelling consistent. For example, choose Professional Experience instead of switching between Work History, Career, and Experience.

4. Add a focused skills block

Place a plain-text skills section below the summary or near the top of the resume. This gives the parser a clear area to find relevant terms. It also lets a recruiter confirm your core tools quickly.

Example:

SKILLS

Accounts payable, month-end close, reconciliations, Excel, NetSuite, variance analysis, internal controls

Use commas or short lines. Do not turn every soft skill into a keyword. Keep the block accurate. If you used a tool only once, do not imply advanced expertise. If a job asks for a system you have not used, leave it out or describe a related skill honestly in your experience.

5. Run one keyword pass against one job

Open the target job description. Do not tailor your resume to five jobs at once. Copy the description into a document and mark four groups:

  1. The job title and close title variations.
  2. Required tools, methods, certifications, and technical skills.
  3. Core responsibilities.
  4. Deliverables, industries, or business terms that genuinely match your work.

Select 8 to 12 terms you can support. Add the exact wording where it is truthful. If the job says stakeholder reporting and your experience includes that work, use the phrase instead of only writing communication.

Do not paste the job description into your resume. Do not list every phrase repeatedly. One accurate use in a skills section or relevant bullet is usually more useful than a dense keyword block.

The job description keyword extractor can list must-haves, tools, and nice-to-haves from a pasted job description. With an optional resume PDF, it can mark which keywords already appear in the file. It does not decide whether you truly have a skill, so you must verify every addition.

Run the same job through YourUnique.cv if you want a draft built from your real profile facts. The product can keep your existing layout or use a built-in template, then provide an ATS read against that job. It should support your facts, not replace them.

6. Rewrite five bullets with numbers

A keyword is stronger when it appears in a result that proves context. Pick five existing bullets that relate to the job. Rewrite each with this structure:

Action + work performed + tool or method + measurable result

Before:

Responsible for monthly reports and helping the finance team.

After:

Prepared 12 monthly variance reports in Excel, reducing review follow-ups by 30% across a five-person finance team.

Before:

Managed customer issues and updated records.

After:

Resolved 45 to 60 customer cases weekly in Salesforce, maintaining a 96% same-week closure rate.

Before:

Worked on a website redesign.

After:

Coordinated a six-page website redesign with marketing and engineering, increasing completed contact forms by 18% in one quarter.

Use real figures. If you cannot share an exact number, use a defensible range, volume, time period, size, or scope. Do not invent percentages. A result can be reduced processing time, a number of users, a portfolio size, a deadline, a team size, or a frequency.

Keep the target term in the bullet only when it describes the work. For example, use Salesforce if you worked in Salesforce. Do not add it because the job description mentions it.

7. Put dates and titles in a predictable order

Use this pattern for each role:

Job Title | Employer | City, State | Month Year to Month Year

Keep dates consistent. Use Jan 2022 to Mar 2024 or January 2022 to March 2024, not a mix of formats. Avoid putting important details only in a right-aligned column or a header.

For current work, use Present if that is accurate. Check that your employment dates do not conflict across sections.

8. Test the actual file in plain text

This is the parsing test. Do not test only the editable document if you plan to upload a PDF.

  1. Open the final PDF or DOCX.
  2. Select all text.
  3. Copy it.
  4. Paste it into a plain-text box, such as Notepad or a basic text editor.
  5. Read from top to bottom.

Check for these failures:

  • Your name and contact details are missing.
  • Sections appear in the wrong order.
  • Columns merge into an unreadable block.
  • Dates detach from employers or job titles.
  • Bullets become symbols or disappear.
  • URLs split across lines.
  • Text inside a graphic is absent.
  • Headers and footers contain information you need the reader to see.

If the pasted text is confusing, return to a one-column layout and remove the element causing the break. Repeat the test after exporting again.

A checker can help with another pass. The ATS resume checker accepts a resume PDF and pasted job description, then reports a match score, missing keywords, and gaps. The PDF is scanned for the result and is not saved to an account. Its score is a diagnostic, not the employer's Workday or Greenhouse number. Common language repairs

Replace vague wording

Change helped with projects to a specific action and output. Change worked with teams to the team, activity, and result. Change handled tasks to the process you owned.

Avoid stuffing a skills section with every variation of a term. Project management, project manager, managing projects, projects looks artificial. Use the phrase that matches your actual work and place it in a relevant bullet.

Match terms without copying claims

A job may use customer success, while your resume says client support. If the work is comparable, you can write client support and customer success in a bullet or skills section. If it is not comparable, do not change the label just to match.

Translate abbreviations where useful. Write search engine optimization (SEO) once if both forms matter. Write Microsoft Excel if the job uses that wording and you have used Excel. Never add a certification, platform, language, or method you do not have.

Keep the summary specific

Use the summary to connect your background to the target job. Example:

Operations coordinator with four years of experience managing vendor records, purchase orders, and monthly reporting for retail teams. Advanced Excel user with experience improving approval workflows.

This is more useful than hardworking professional with excellent communication skills. It includes role context, work areas, a tool, and a result-oriented focus without making unsupported claims.

Before you apply

Run one final review. Your resume does not need to match every phrase in the job description. It needs to communicate your real fit in a file that reads cleanly.

If you want to rebuild the document from your profile facts, sign up for YourUnique.cv. You can upload a resume, optionally add a LinkedIn URL, paste a job description or job link, and export a PDF after reviewing the draft. You remain responsible for checking the facts and the final file.
