ATS online screening is easier to repair than to guess. Use a readable file, remove layout elements that break extraction, match the job's real terms, and test the exported resume as plain text before you submit it.
This guide gives you a same-day repair sequence for company sites and LinkedIn Easy Apply. It does not promise a score or claim to copy an employer's ATS. It fixes the parts you can inspect.
What ATS online systems read first
An applicant tracking system may extract text from your file before a recruiter opens it. It looks for information such as:
- Name and contact details
- Section headings
- Job titles and employers
- Employment dates
- Skills, tools, certifications, and education
- Terms that relate to the job description
A recruiter may then see a parsed profile, the original resume, or both. Your goal is simple: make the extracted version accurate and easy to scan.
A file can look polished and still parse badly. Text inside a side column may appear after the wrong section. A table can merge dates with job titles. Icons can replace phone or email text. A text box can disappear. These are file problems, not writing problems.

The numbered ATS online repair sequence
1. Set the file type
Read the application instructions first. Submit PDF when the employer asks for PDF. Submit DOCX when it asks for DOCX. If there is no instruction, use a clean PDF or DOCX with selectable text.
Do not upload a screenshot, scanned image, or photo of a resume. Avoid password-protected files. Open the exported file and try to select and copy a sentence. If you cannot select the text, the file needs repair.
Use a plain filename such as Jane-Smith-Product-Manager-Resume.pdf. Do not use resume-final-final-2.pdf.
2. Remove columns and tables
Put the resume in one reading order from top to bottom. Remove:
- Two-column layouts
- Tables used for alignment
- Text boxes
- Headers and footers containing important details
- Logos, skill bars, rating graphics, and decorative icons

3. Rename headings with standard terms
Replace clever labels with headings a parser and recruiter can recognize.

Do not hide experience under a custom heading. Keep one heading style throughout the document.
4. Add a focused skills block
Place a readable skills section after the summary or before experience. Use text, not graphics.
Example:
Skills: SQL, Excel, Salesforce, HubSpot, A/B testing, pipeline reporting, customer onboarding
Group skills only when the groups help the reader. For example, Tools, Methods, and Languages are clear labels. Do not paste every skill from a generic list. The block should support the target job and match the experience shown in your bullets.
5. Run one keyword pass against one job
Do not tailor one resume to five unrelated jobs at once. Pick the job you are applying for today.
Pull out 8 to 12 useful terms. Include exact tool names, job functions, certifications, and phrases that describe required work. Then place each truthful term in the best location: summary, skills, experience, or certification section.

Use the exact term when it is accurate. Do not turn a keyword into a claim. If the job requires Python and you have never used Python, leave it out. A gap is better than a false statement.

6. Rewrite five bullets with numbers
A keyword alone is weak. Show what you did and what changed. Replace vague verbs and add a number, scope, time frame, or result where you can support it.

Use numbers you can defend. If you do not know a percentage, use a count, frequency, size, volume, or time saved. Five repaired bullets are a practical minimum for a same-day update. Then scan the rest for unsupported claims and unclear ownership.
The plain-text parsing test
This is the fastest check you can do without assuming a public checker matches an employer's system.
- Open the final PDF or DOCX.
- Select all text and copy it.
- Paste it into a plain-text box, such as a basic text editor with formatting removed.
- Read from the first line to the last.
- Check the order and completeness.
You should see your name, contact information, summary, skills, experience, education, and dates in a sensible order. Each job should keep its title, employer, location, dates, and bullets together.
Look for these failures:
- Missing phone number or email
- Headings mixed into job bullets
- Dates separated from their jobs
- Two columns interleaved line by line
- Bullets replaced by random symbols
- Skills missing from the pasted text
- Footer content inserted between experience entries
- Text that cannot be selected at all
Fix the source document, export again, and repeat the test. Do not solve a parsing issue by adding more design elements.
Check the repaired file before applying
A public checker can provide another diagnostic. The ATS resume checker accepts a resume PDF and pasted job description, then reports a match score, missing keywords, and gaps. The PDF is scanned for the result and is not saved to an account.
That result is not a Workday or Greenhouse number. It cannot prove how a particular employer's configuration will process your file. Use its findings with the plain-text test and your own review. Recruiter view after parsing
Once the system has extracted the file, a recruiter still has to understand it quickly. Make the first half-page answer four questions:
- What role do you perform?
- Which tools or methods do you use?
- What results have you produced?
- Does your recent experience fit this job?
Put the target role in the summary only when it is accurate. Put the most relevant skills near the top. Lead each experience section with the work that best matches the job. Keep older or less relevant details shorter.
Do not repeat a keyword in every bullet. Repetition can make the resume harder to read and can turn a valid skill into obvious stuffing. Use a term once in the skills block and again where the work proves it, when appropriate.
