ATS Optimized: Parsing, Keywords, and Recruiter View

Make your resume ATS optimized with a file, heading, keyword, bullet, and plain-text repair sequence before you apply through a company site or LinkedIn.

An ATS optimized resume is built for two readers: the parsing software that extracts your text, and the recruiter who reviews the result. Fix the file first. Then fix the structure, keywords, and evidence in your bullets.

Use this repair sequence today. It covers the file type, layout, headings, skills block, keyword pass, measurable bullets, and a plain-text test before you apply.

1. Start with the job posting

Choose one job. Do not tailor against a vague career target or five different postings at once.

Copy the full description into a separate document. Mark terms in four groups:

Keep a short list of 8 to 12 terms you genuinely support. Include the exact wording when it matches your experience. If the job says “customer retention,” do not rely only on “account management.” Both may be relevant, but the parser and recruiter may look for the stated phrase.

Run the job through the job description keyword extractor to separate must-haves, tools, and nice-to-haves. The tool can also compare those terms with your PDF. It cannot turn an unfamiliar skill into real experience.

2. Repair the file type

Use a DOCX file or a text-based PDF unless the application gives different instructions. Follow the employer's requested format when one is specified.

Avoid these file problems:

  • Scanned PDFs that contain an image instead of selectable text.
  • Password-protected files.
  • A portfolio link used in place of the requested resume file.
  • File names such as resume-final-final-3.pdf.
  • A design export where text is converted into shapes.

Rename the file with your name and target role. For example: Avery-Smith-Data-Analyst-Resume.pdf. The name will not repair poor content, but it makes the upload easier to identify.

Open the exported file and select a sentence. If you cannot select and copy the words, stop. Export again from the original document or use DOCX.

3. Remove layout traps

An ATS optimized resume does not need a complex visual grid. Use one main column. Put your contact details in the document body, not only in a header or footer.

Remove or replace:

  • Tables used to position dates, employers, or skills.
  • Text boxes and floating shapes.
  • Two-column layouts.
  • Icons used instead of words.
  • Logos, charts, rating bars, and decorative graphics.
  • Headers and footers that contain essential contact details.

A table may look aligned on screen while its text is extracted in the wrong order. A recruiter may see the employer name, date, and title in a scrambled sequence after parsing.

Use a simple order: name, contact details, summary, skills, experience, education, certifications, and optional sections. Consistency matters more than visual effects.

4. Rename the headings

Use common headings so both readers can identify each section quickly.

Use:

  • Summary
  • Skills
  • Professional Experience
  • Education
  • Certifications
  • Projects

Avoid headings such as “Where I Have Worked,” “My Toolkit,” or “The Story So Far.” They may sound distinctive, but they give less direct information to a parser and a busy reviewer.

Write dates in a consistent format. For example, use May 2021 to Present for every current role and June 2018 to April 2021 for a previous role. Put the job title, employer, location, and dates in predictable lines.

5. Add a searchable skills block

Place a clear skills section below your summary or above your experience. Use text, not graphics.

Example:

Group skills only when the group labels help the reader:

  • Customer success: onboarding, QBRs, renewal strategy
  • Tools: Salesforce, Zendesk, Gainsight
  • Analysis: SQL, churn analysis, cohort reporting

Do not paste every phrase from the job description into this block. A skills block should make supported strengths easy to find. Your experience bullets must provide proof.

6. Complete one keyword pass

Compare your short list with the resume. Place each supported term where it is accurate:

  1. Add the main skill to the Skills section.
  2. Add the same term to a relevant experience bullet when you used it.
  3. Use the job's spelling or abbreviation when truthful. For example, write customer relationship management (CRM) once if both forms matter.
  4. Remove repeated terms that make a sentence unnatural.

Before:

Managed accounts and helped customers use the platform.

After:

Managed 42 B2B accounts in Salesforce, led onboarding, and improved product adoption through quarterly business reviews.

The second version adds supported terms and evidence. Do not write Salesforce if you have never used it. Do not claim ownership of renewals if you only provided support for the process.

7. Rewrite five bullets with numbers

Pick five bullets that relate most directly to the target job. Give each one a clear action, work object, method or scope, and result.

Use numbers where they exist:

Use a number, percentage, time period, volume, scope, or comparison when you have one. If you do not know the exact figure, use an honest range or describe the output without inventing precision.

Do not turn every bullet into a keyword container. The five repaired bullets should prove the terms you selected in step one.

8. Run the plain-text parsing test

This test takes a few minutes and catches ordering problems. Open a plain-text box. Not a rich text document. On Windows, use Notepad. On macOS, use TextEdit in plain-text mode. You can also use a blank plain-text field that does not preserve formatting.

  1. Open your finished PDF or DOCX.
  2. Select all text.
  3. Copy it.
  4. Paste it into the plain-text box.
  5. Read from top to bottom.

Check for:

  • Your name and contact details at the top.
  • Headings that remain visible.
  • Experience in reverse chronological order.
  • Job titles next to the correct employers.
  • Dates that stay with the correct roles.
  • Skills that do not appear as a random column dump.
  • No missing symbols, broken words, or repeated footer text.
  • No important content trapped in an image.

If the pasted text begins with a sidebar, mixes dates into the wrong roles, or loses half your Skills section, return to a one-column layout. Export again and repeat the test.

9. Complete the final 12-point check

Use this list immediately before uploading:

  • The file follows the employer's requested format.
  • The PDF contains selectable text, if you use PDF.
  • The file name includes your name and target role.
  • The layout uses one main column.
  • There are no tables, text boxes, icons, or rating graphics.
  • Contact details are in the document body.
  • Headings use standard names.
  • A readable Skills section lists supported terms.
  • Eight to 12 relevant keywords match the selected job.
  • Five relevant bullets include honest numbers or scope.
  • The plain-text paste test preserves order and words.
  • The final file has been opened after export and checked again.
