ATS Professional: Step by Step for 2026 Applications

Follow this ats professional repair guide to fix file type, headings, keywords, bullets, and plain-text parsing before you apply in 2026.

Start with the file, not the design. An ats professional resume is easy for software to read and useful for a human after parsing. Today, use one column, standard headings, a focused skills block, 8 to 12 phrases from one job description, and five quantified bullets. The ATS professional repair sequence

Follow these steps in order. Do not tailor ten jobs at once. Repair one resume for one target job first.

1. Save the source file

Keep an editable copy in Word or Google Docs. Name it clearly:

Use your real name and the target role. Do not use names such as final-final-new2.pdf. Avoid symbols that may confuse a form upload. Keep a DOCX copy in case the application asks for it.

2. Choose the requested file type

Read the application instructions. If the employer asks for PDF, upload a PDF. If it asks for DOCX, upload DOCX. When no format is stated, a text-based PDF is often convenient because it preserves the layout, but you still need to test how the text behaves.

Do not upload a screenshot, image-only PDF, or scanned document. A file can look perfect to you and contain little usable text for a parser.

3. Remove columns, tables, and text boxes

Use a single main column. Delete sidebars, skill meters, icons, logos, decorative lines, and floating text boxes. Put contact details in the body of the first page rather than only in a header or footer.

Columns can make the parser read the right side before the left side. Tables can split a job title from its dates or place skills in an unexpected order. A simple document is easier to inspect and repair.

4. Rename headings with familiar labels

Replace creative labels with common headings. Use these where they fit:

Keep headings separate from the body text. Do not put a heading inside a graphic. Use the same heading style throughout the document.

5. Add a focused skills block

Place a Skills or Technical Skills section near the summary or after experience. Include tools, methods, systems, certifications, and job-related capabilities you genuinely have.

Use plain text. For example:

Skills: Salesforce, account management, pipeline forecasting, renewal strategy, SQL, Excel, customer onboarding

Do not add a tool because it appears in the job description. The keyword must match your real experience. If you have used a related tool but not the exact one, describe the related experience accurately in a bullet instead of claiming direct use.

6. Pull 8 to 12 keywords from one job

Select 8 to 12 relevant phrases. Prioritize:

  • Required tools and platforms
  • Required job functions

  • Exact role language that describes your experience

Add a phrase where it is true. Put tools in Skills and relevant terms in experience bullets. Do not paste a keyword list into every section. Repetition can make the resume harder to read.

7. Rewrite five bullets with numbers

Choose five bullets that relate most closely to the target job. Give each one a clear action, task, and result. Add numbers when you have them: revenue, time, volume, team size, customers, tickets, conversion rate, cost, or completion rate.

Weak:

Responsible for managing customer accounts and renewals.

Stronger:

Managed 85 mid-market accounts and raised renewal rate from 78% to 88% over 12 months.

Weak:

Worked with the sales team on reports.

Stronger:

Built weekly Salesforce pipeline reports for 14 account executives, reducing manual reporting time by 6 hours per week.

Do not invent results. If you cannot verify a percentage, use a count, time period, scope, or named deliverable. Start with a verb. Keep the wording specific enough for both a parser and a recruiter.

8. Keep dates and titles predictable

Use a consistent format such as:

Account Manager | Northstar Software | Boston, MA | January 2022 to Present

Place the job title, employer, location, and dates in ordinary text. Use reverse chronological order unless the application requests another format. Spell out an abbreviation once when it helps clarity, such as Customer Relationship Management (CRM).

Do not put dates in a separate visual column. Do not hide employment details in a header or footer.

Put your name, phone, email, city and state or country, and LinkedIn URL near the top. Confirm that the email address is current. Use a complete URL for important portfolio or project links.

Avoid unnecessary personal information. Do not add a photo, age, marital status, or national identification number unless local rules or the application specifically require it.

Run the plain-text parsing test

A plain-text paste test exposes reading order problems. Open a basic text editor or any plain-text box. Do not use a rich-text editor for this check. Select all resume text, copy it, and paste it into the box.

Check five things:

  1. Your name appears first.
  2. Contact details are readable.
  3. Headings remain visible.
  4. Each job title stays with the correct employer and dates.
  5. Bullets appear in the right order without missing lines.

If a sidebar appears in the middle of a sentence, rebuild the document as one column. If a skill disappears, move it out of an icon, table, header, or text box. If the PDF pastes as blank or as one image, export a text-based PDF again or use the requested DOCX format.
