ATS Resum: Parsing, Keywords, and Recruiter View

An ats resum needs two things: clean text extraction and direct evidence that matches the job. Fix the file structure first. Then tailor the language to one posting, rewrite five bullets with numbers, and test the final file as plain text before you apply.
This guide gives you a repair sequence for company career sites and LinkedIn Easy Apply. It does not promise a universal ATS score. Different systems, settings, and recruiter workflows can read the same file differently.
What an ATS must find
An applicant tracking system usually needs to identify your contact details, section headings, employers, job titles, dates, education, skills, and relevant terms. If those items are trapped in a sidebar, image, table, header, or footer, the extracted record may be incomplete or badly ordered.
The recruiter view matters too. A recruiter should be able to scan your target role, recent work, tools, results, and scope without hunting through design elements. A plain layout supports both readers.

The repair sequence
1. Save the right file type
Read the application instructions. Use the requested format. If the employer asks for DOCX, upload DOCX. If it asks for PDF, upload a text-based PDF exported from a document editor.
Avoid these files:
- A scanned PDF made from a photograph
- A PDF where you cannot select and copy text
- A file with a password or editing restriction
- A design export that turns each line into an image
Open the final file and try to select a sentence. If selection behaves like one large picture, rebuild the document.
Name the file plainly: FirstName-LastName-Role-Resume.pdf. The filename will not repair bad parsing, but it helps you identify the correct version when uploading several documents.
2. Remove columns, tables, and text boxes
Use one vertical reading path. Delete sidebars, two-column layouts, floating text boxes, icons, charts, and decorative shapes. Do not place contact details in a header if the text disappears when copied.
Tables are a common source of scrambled extraction. They may look orderly on screen while their cells are read across the page, down the page, or in an unexpected sequence. Replace each table with normal paragraphs and bullets.
A simple ATS resum layout usually has:
- One column
- Standard fonts such as Arial, Calibri, or Georgia
- Normal margins
- Black or dark text on a light background
- Clear spacing between sections
- No photos, logos, rating bars, or skill graphics
A simple file also makes the recruiter view faster. You do not need to remove every sign of personality. Remove anything that competes with the text.
3. Rename headings so the sections are clear
Use familiar headings. A creative label such as “Where I Have Made an Impact” may confuse extraction and slow a recruiter. Use “Summary,” “Skills,” “Professional Experience,” “Education,” and “Certifications.”
Keep each heading separate from the content below it. Put the employer, job title, location, and dates in normal text. Use a consistent date format, such as May 2021 to August 2024 or 2021 to 2024.
Do not put dates in a separate visual column. Write each position as a readable block:
Marketing Operations Manager | Northstar Labs | Boston, MA | May 2021 to August 2024
Then add bullets underneath.
4. Add a focused skills block
Place a “Skills” section below your summary or near the top of the resume. List tools, methods, systems, and job-specific capabilities you genuinely have.
Example:
Skills: Salesforce, HubSpot, SQL, lifecycle email, A/B testing, campaign reporting, lead scoring, Google Analytics
Do not bury every skill in prose. A dedicated block gives the system and recruiter a clear place to find relevant terms. It also lets you check your resume against the job quickly.
The skills block is not a substitute for proof. If the job calls for SQL, show how you used SQL in an experience bullet when that is true.
5. Run one keyword pass against one job
Do not tailor for five postings at once. Pick the job you are applying to today. Read the description and mark repeated or required terms. Look for:
- Required tools and platforms
- Methods and technical skills
- Role-specific responsibilities
- Credentials and domain terms
- Variations of the same phrase
Select about 8 to 12 terms that match your actual background. Add them where they fit naturally. Use the employer's wording when it accurately describes your experience. For example, if your resume says “customer database,” and the job says “CRM,” use “CRM” only if that is an accurate description of the system or work.

6. Rewrite five bullets with numbers
Choose five bullets that matter most for this job. Replace duty-only wording with action, work, and result. Add numbers when you can support them.

Use numbers for volume, time, money, conversion, quality, reach, or speed. Do not invent precision. If you only know an approximate figure, use a defensible range or describe the scale without a number.
A useful bullet pattern is:
Action + what you handled + method or tool + measurable result
The target keyword does not belong in every bullet. Relevance and evidence matter more than repetition.
7. Run the parsing test
Copy all visible resume text. Paste it into a plain-text box, Notepad, TextEdit in plain-text mode, or another basic editor. Do not inspect only the designed document.
Check the pasted version from top to bottom:
- Is your name and contact information present?
- Does the summary appear before experience?
- Are section headings visible?
- Does each job title stay with the correct employer?
- Are dates attached to the correct role?
- Do bullets remain in the right order?
- Are skills readable as words, not broken symbols?
- Did header or footer text vanish?
- Did columns merge into confusing sentences?
- Did special characters turn into empty boxes?
If the order is wrong, return to the source document. Remove the layout feature causing the problem. Export again, copy again, and repeat the test.

After parsing, review the page as a person. Your target role should be obvious. The most relevant skills should appear near the top. Recent experience should receive more space than old, unrelated work.
Cut generic lines such as “hard-working team player” unless the job gives them a specific meaning. Replace them with evidence: team size, project scope, delivery result, customer impact, or process improvement.
