ATS Resume Tips: A Fix List You Can Finish Today

Use these ats resume tips to fix file type, headings, keywords, bullets, and parsing errors before you apply. Finish the repair today with a final checklist.

The fastest ATS resume tips are structural. Use a readable PDF or requested Word file, remove columns and tables, rename headings, add a clear skills block, match 8 to 12 accurate phrases from one job, and rewrite five bullets with numbers. Then paste the finished file into plain text and apply.

This guide is a repair sequence. Work from the top of your resume to the bottom. Do not rebuild everything at once.

The repair sequence

1. Save a clean working copy

Create a copy before changing your resume. Name the working file something clear, such as FirstName-LastName-TargetRole.pdf.

Do not use a filename such as resume-final-final2.pdf. A clear name helps you identify the correct version when you apply to several jobs.

Keep one master resume with your complete experience. Make a separate copy for each target job. This prevents one application from overwriting another.

2. Fix the file type

Read the application instructions first. If the employer requests .docx, use .docx. If it accepts PDF, a text-based PDF is usually a practical choice because the layout stays fixed.

Check the PDF before uploading:

  • Select a sentence with your cursor.
  • Copy it.
  • Paste it into a text editor.
  • Confirm that the words appear as text, not as one image.

Do not upload a scanned image of your resume unless the application specifically requires it. A scanner may see the page visually, but an ATS needs usable text to identify fields.

3. Remove columns, tables, and layout tricks

Columns can cause the reading order to change. A parser may read the right column before the left column, or mix dates with job descriptions. Tables can split one entry into separate cells.

Use one vertical column. Keep your name and contact details near the top. Use normal spacing and simple bullet characters.

Remove these elements:

  • Text boxes
  • Sidebars
  • Icons used for contact details
  • Logos and decorative graphics
  • Headers and footers containing important information
  • Progress bars for skills
  • Hidden white text

4. Rename your headings

Use headings that describe common resume sections. Avoid creative labels that hide useful information.

Use the same heading style throughout. A heading does not need to match an employer's exact wording, but standard terms reduce ambiguity.

Keep dates consistent. For example, use Jan 2022 to Mar 2024 for every position. Do not place dates in a separate floating box.

5. Add a focused skills block

Place a skills section below your summary or near the top of the first page. Use plain text separated by commas or bullets.

Example:

Skills: Excel, SQL, Salesforce, account management, pipeline reporting, contract negotiation, customer onboarding

Group skills only when the group is clear:

  • Tools: Salesforce, HubSpot, Jira
  • Methods: Agile, forecasting, regression testing
  • Business skills: vendor management, budgeting, client retention

Do not rate yourself with bars or percentages. Do not add every tool you have touched once. Use skills that support the target job and that your experience can support.

6. Run one keyword pass against one job

Do not tailor a resume against five job descriptions at the same time. Pick one posting. Mark the phrases that describe required work, tools, qualifications, and outcomes.

Aim for 8 to 12 relevant keywords or phrases. Check four places:

  1. The summary, if the phrase describes your professional focus.
  2. The skills block, if it is a genuine skill or tool.
  3. Experience bullets, where the phrase is supported by a real example.
  4. Certifications or education, when the phrase belongs there.

Use the employer's wording when it is accurate. For example, if your resume says "customer relationship software" and the job says "Salesforce," write "Salesforce" if Salesforce is the system you used.

Do not paste a keyword list into the resume. Do not add a certification you do not hold. Do not claim experience you do not have.

7. Rewrite five bullets with numbers

Choose five bullets that matter most for the target job. Keep the underlying fact true. Add a number, scope, time frame, or result when you have one.

Use exact figures only when you can defend them. If you do not know a percentage, use a count, team size, budget, time period, customer volume, or project scope. A precise fact is better than a vague superlative.

8. Run the plain-text parsing test

This is the fastest manual check.

Open a plain-text editor such as Notepad or TextEdit in plain-text mode. Copy the full resume and paste it into the editor. You can also paste it into any plain-text box that does not preserve formatting.

Read the result from top to bottom. Confirm that:

  • Your name appears first.
  • Phone, email, location, and links remain readable.
  • Each heading is easy to identify.
  • Every employer connects to the correct job title.
  • Dates stay with the right role.
  • Bullets remain under the correct employer.
  • Skills are readable as words.
  • No important content disappears.
  • The reading order is logical.

If the text begins with a sidebar, loses dates, or mixes two columns, return to the source document and rebuild it as one column. Repeat the test after exporting the final file, not only after editing the source.

9. Make the final visual check

Parsing comes first. Human review still matters after that.

Open the exported file at 100% zoom. Check that page breaks do not separate a heading from its first bullet. Look for blank pages, clipped text, odd symbols, inconsistent punctuation, and oversized headings.

Keep the document length appropriate to your experience. Do not shrink the font until the text is difficult to read just to fit one more bullet.

10. Upload the correct version

Before clicking submit, compare the filename with the target job. Open the file you plan to upload. Confirm that it includes the keywords and five repaired bullets from this application.

Some application forms ask you to upload a resume and then fill in fields manually. Treat both as important. If the form extracts incorrect information, correct the fields before submitting.
