An ATS standard resume is a file that software can read in the right order. Fix the file type, remove layout traps, use familiar headings, add a targeted skills block, match 8 to 12 real job terms, and test the extracted text before you apply.
This guide gives you a repair sequence for one application. Do the steps today. Do not rebuild your entire career history for every job.
The ATS standard repair sequence
1. Start with the employer's file instructions
Read the application page before exporting your resume. If it asks for DOCX, use DOCX. If it accepts PDF, use a text-based PDF with selectable text. Do not submit a scanned image of a resume.
A PDF is not automatically safe or unsafe. The test is whether the text can be selected, copied, and read in the correct order. Keep the editable source file so you can export another format if the employer asks.
Use a simple filename:
FirstName-LastName-Target-Role-Resume.pdf
Avoid names such as resume_final_final2.pdf. The filename will not repair a bad resume, but a clear name reduces confusion when you upload several documents.
2. Remove columns, tables, and floating objects
Many resume designs place content in sidebars, text boxes, headers, or footers. A person may see a neat page. A parser may read the sidebar before your name, split a date, or drop text completely.
Use one main content column. Keep your contact details in the body at the top. Remove:
- Sidebars and multi-column sections
- Tables used to align dates or skills
- Text boxes and floating shapes
- Icons that replace words
- Logos, charts, and rating bars
- Important details placed in headers or footers
A horizontal line is usually less risky than a graphic element, but it adds no useful information. Remove decoration if it creates export problems.

3. Rename headings with familiar labels
Use headings that describe the section directly. Do not make the reader or parser guess what “My Journey” means.

You do not need every section. Use the headings that fit your background. Keep the order predictable: name and contact details, summary, skills, experience, education, and certifications when relevant.
4. Add a focused skills block
Place a skills block near the top, after the summary or before experience. Use plain text. Separate items with commas or vertical bars. Do not use star ratings or progress bars.
Example:
Skills: SQL, Python, Tableau, financial modeling, variance analysis, forecasting, stakeholder reporting
Build this block from the job description and your real experience. If the posting asks for Salesforce and you have used Salesforce, include it. If you have not used it, leave it out. A keyword is useful only when you can support it in an interview or work example.
5. Run one keyword pass against one job
Do not tailor the resume against five job descriptions at once. Choose the job you are applying for now. Look for repeated terms, required tools, named methods, certifications, and duties.
Aim for 8 to 12 accurate terms. Place each in the most natural location:

Copy the exact term when it is accurate. For example, use “accounts payable” if that is the wording in the posting and it describes your work. Do not repeat it in every section. One clear use is better than a crowded page.

6. Rewrite five bullets with numbers
Pick five bullets that relate to the target role. Replace task-only wording with action, work, and result. Add a number when you have one.
Before:
Responsible for monthly reporting and client updates.
After:
Produced monthly performance reports for 18 client accounts, cutting follow-up requests by 25%.
Before:
Helped with hiring and onboarding.
After:
Coordinated onboarding for 14 new hires, reducing average setup time from five days to three.

Use numbers you can explain. They can show volume, time, cost, accuracy, growth, team size, customer count, or frequency. If you cannot verify a percentage, use a solid count or scope instead.
Use a clear pattern:
Action verb + what you handled + scale or method + result
Start bullets with verbs such as built, reduced, analyzed, launched, reconciled, trained, improved, or delivered. Avoid starting every bullet with “responsible for.”
7. Check the order of every experience entry
Use this pattern for each role:
Job Title
Company, City or Remote | Month Year to Month Year
Then add four to six relevant bullets for recent roles. Keep older or less relevant roles shorter. Make dates consistent. Use either Jan 2022 or January 2022 throughout, not a mix.
Do not hide dates in a right-aligned text box. Put them in ordinary text. A parser should connect each date to the correct employer and job title.
The parsing test: paste into plain text
Your resume must survive a view with no fonts, colors, columns, or spacing controls. Open a plain-text box. Notepad on Windows or TextEdit in plain-text mode on macOS works.
- Open the exported PDF.
- Select all text.
- Copy it into the plain-text box.
- Read from top to bottom.
- Check the order of your name, contact details, headings, dates, employers, job titles, bullets, and skills.
- Search for five important keywords.
Look for these failures:
- Your phone number appears between words in your name.
- The skills sidebar appears before your work history.
- Dates are separated from the roles they describe.
- Bullet symbols become empty squares or random characters.
- A heading disappears.
- A two-column section merges into an unreadable block.
- Text in a header, footer, chart, or image is missing.
Fix the source document, export again, and repeat the paste test. Do not manually paste a broken extraction into a new resume. Repair the layout that caused the problem.

Check the file, then apply
When the text order works, open the PDF visually. Confirm that no line is cut off, no page is blank, and no bullet has wrapped into a confusing position. Check that your email and phone number are correct. Then upload the required file to the employer site or LinkedIn Easy Apply.
Do not wait for a perfect score from a public tool. A diagnostic can point to missing terms or gaps, but it cannot decide whether your evidence is credible. Correct the factual problems, make the file readable, and submit the application.
