An applicant tracking system may parse your resume before a recruiter reads it. The system can extract text, headings, dates, employers, job titles, and skills. A decorative file can hide that information. Your goal is simple: make the important facts easy to extract and easy for a person to scan.
The repair sequence
Follow this order. Do not start by changing every sentence.
- Save a clean working copy.
- Fix the file type and file name.
- Remove layout features that interrupt reading order.
- Rename headings using familiar labels.
- Add a focused skills block.
- Compare the resume with one job description.
- Add 8 to 12 truthful keywords.

- Export, inspect, and apply.
This sequence separates file problems from content problems. A keyword cannot help if the parser cannot read the section that contains it.
1. Fix the file before editing the words
Read the application instructions first. If the employer requests DOCX, submit DOCX. If it requests PDF, submit PDF. If there is no instruction, use a text-based PDF only if you can select and copy the text from it.
Use a direct file name, such as:
Jordan-Lee-Project-Manager-Resume.pdf
Avoid names such as resume-final-final2.pdf. The file name will not repair a weak resume, but a clear name prevents confusion when you manage several versions.
Open the final file. Select the text. Copy it into a basic plain-text box, such as Notepad or TextEdit in plain-text mode. If the text does not copy, the document may be an image or a damaged export. Rebuild it from editable text.
2. Remove columns, tables, and visual traps
Use one main column from top to bottom. Tables and sidebars can cause text to be read in the wrong order. A two-column layout may look compact but can produce a scrambled extraction.
Remove or limit these elements:
- Text inside headers and footers
- Text boxes and floating shapes
- Icons used instead of words
- Logos beside contact details
- Charts, rating bars, and skill graphics
- Decorative lines that split sections
- Photos, unless the application specifically requires one
A plain layout gives you more control. You can still use white space, bold job titles, and a modest font hierarchy. Keep the information in the document body whenever possible.

3. Rename headings so the parser knows the section
Use labels that describe the content directly. Do not make the parser guess what “Where I Have Worked” means.

Keep your contact information near the top. Include your name, city and region, phone, email, and a professional profile URL if relevant. Do not place essential contact details in a graphic or image.
Dates should be consistent. Use a format such as May 2021 to March 2025 or 2021 to 2025. Put the employer, job title, location, and dates in predictable positions for every role.
4. Add a skills block
Place a short skills section below the summary or above experience. Use text, not progress bars. Group skills only when the grouping helps the reader.
Example:
Skills: Project planning, stakeholder management, process improvement, Jira, SQL, Excel, user acceptance testing, sprint planning
Do not add a skill because it appears in a job description. Add it when you have used it or can support it with evidence. Your experience bullets should confirm the most important skills.
A skills block is useful for direct matching, but it is not a substitute for experience. If the job asks for vendor management, the resume is stronger when a bullet explains the vendors, scope, result, or decision you handled.
5. Run one keyword pass against one job
Do not tailor from a general list of popular resume words. Copy one target job description into a working document. Mark repeated or specific terms in these groups:
- Required skills and methods
- Software, platforms, and technical tools
- Job titles or function terms
- Deliverables and business tasks
- Certifications, languages, or industry terms
Select 8 to 12 terms that match your background. Use the exact term from the posting when it is accurate. Include the full phrase and a common abbreviation when both matter, such as customer relationship management (CRM).
Place each term where it makes sense. Put tools in Skills and show important methods in experience bullets. Do not repeat a keyword in every section. Repetition can make the document harder to read and does not turn an unsupported claim into experience.

6. Rewrite five bullets with numbers
Choose five bullets from the most relevant roles. Use this repair pattern:

Use numbers you can defend. Good evidence includes revenue, cost, time, volume, users, conversion rate, error rate, headcount, project count, and delivery time. If you cannot share an exact figure, use a reliable range or scope, such as a team size or number of accounts. Do not invent precision.
Begin with a strong verb. Remove “responsible for,” “helped with,” and “worked on” when a more direct verb is accurate. A bullet should explain what changed because of your work.

7. Run the plain-text parsing test
This is the quickest manual test.
- Export the resume to the intended file type.
- Open the exported file.
- Select all text and copy it.
- Paste it into a plain-text box.
- Read the pasted version from top to bottom.
- Check names, headings, dates, bullets, and skills.
Look for these failures:
- Contact details appear in the wrong order.
- A right-hand column appears before the summary.
- Job titles are separated from employers or dates.
- Bullets turn into empty symbols or random characters.
- Text disappears from headers, footers, tables, or text boxes.
- The skills block is split into unrelated lines.
Fix the source document, export again, and repeat the test. Do not submit a file that only looks correct when opened visually.
