A combination resume can work if the first section is brief. Add a summary, a core skills line, or a small selected achievements section. Functional resumes usually lose because they separate skills from proof. Use a parser-friendly section order

A simple order works for most applications:

You can move Education above Work Experience if you are a recent graduate or the degree is a direct requirement. Keep the main sections easy to identify. Use these heading names:

Do not rename Work Experience to “Where I’ve Been.” Do not rename Skills to “My Toolkit.” Creative labels may look distinctive, but familiar labels give both people and software less to interpret.

Write your name, phone number, email address, city and state, and LinkedIn URL in the main document body when possible. Headers and footers can be missed by some parsers. If you use them, copy the final file into a plain-text editor and confirm that your contact information appears in the extracted text.

Format dates as MM/YYYY

Use one date style for every position. A safe example is:

03/2021 to 08/2024

You can also use Mar 2021 to Aug 2024 if you apply it consistently. Avoid these problems:

  • 2021 to Present for one job and 03/2021 to 08/2024 for another
  • Month names split across decorative elements
  • Dates placed in images
  • A separate timeline that is disconnected from the job titles
  • Only listing years when the application asks for detailed employment dates

For a current role, use 09/2024 to Present. For an internship, contract, or temporary role, label it clearly in the job title or employer line. For example: Data Analyst, Contract.

Right-align dates in Word without a table

Tables can create reading-order problems and make editing harder. Use a right-aligned tab stop instead.

Example:

In Microsoft Word:

  1. Select the employer and date lines that need alignment.
  2. Open Home, then select the small Paragraph dialog launcher.
  3. Select Tabs.
  4. Enter a tab stop position near the right margin, such as 6.5 inches. Adjust it for your margins and paper size.
  5. Choose Right alignment.
  6. Select Set, then OK.
  7. Place the cursor between the job title or employer and the date.
  8. Press Tab once. Do not use a row of spaces.

The date will move to the tab stop and align by its right edge. If the line wraps, shorten the employer text or move the date to its own line. Do not use repeated spaces to fake alignment. Spaces can collapse or behave differently after file conversion.

Set this tab stop for the whole Work Experience section. Consistent alignment matters more than an exact measurement.

Build a do this, not this layout

Think of the resume as a clean document with one main reading path.

Do this

  • Use one column with normal left-to-right order.
  • Put your name at the top in plain text.
  • Use a readable font such as Arial, Calibri, Georgia, or another common sans serif or serif font.
  • Keep section headings visibly larger or in bold, without decorative symbols.
  • Use bullets that begin with an action and include an outcome, scope, tool, or metric when accurate.
  • Use standard bullets such as round dots or hyphens.
  • Leave enough white space between sections.
  • Keep dates in the same position and format.

Not this

  • Do not put contact information inside a banner image.
  • Do not use two columns for core experience and skills.
  • Do not place skills in a text box or floating shape.
  • Do not use icons for phone, email, or LinkedIn details.
  • Do not use a progress bar to show skill level.
  • Do not put the complete work history in a sidebar.
  • Do not use tables to build the entire resume.
  • Do not use a photo, chart, logo, or decorative timeline unless the application specifically requires it.

The visual difference is simple. The “do this” version has a single vertical stream: heading, role, employer, dates, bullets. The “not this” version makes the reader jump between a left sidebar, a central timeline, and a right skills panel. A person may understand it. A parser may read the parts in an unexpected order.

Keep the page length useful

One page is a good target when you have limited experience or can cover the job clearly without removing evidence. Two pages are reasonable when you have several relevant roles, technical projects, leadership history, certifications, or measurable results that support the target position.

Do not shrink the font to force everything onto one page. Do not remove useful detail just to meet an arbitrary page count. Cut repetition first. Then remove old or unrelated content. Keep the most relevant achievements near the top of each recent role.

For most applicants, a two-page resume should still feel selective. Older roles can have fewer bullets. Positions from many years ago may need only the title, employer, location, and dates if they add limited value.

Match the job without breaking the layout

A clean format does not compensate for missing evidence. Read the job description and identify required skills, tools, certifications, and responsibilities. Use the employer's wording when it accurately describes your experience.

For example, if the job asks for “SQL,” do not write only “database querying” when SQL is the tool you used. If the posting says “customer relationship management,” include that phrase when it is true. Do not add skills you have not used.

Check the actual file, not just the editor view

Before applying, open the exported file and test its text order.

  1. Open the PDF.
  2. Select all text.
  3. Copy it into Notepad, TextEdit in plain-text mode, or another basic editor.
  4. Read from top to bottom.
  5. Check that the name, contact details, headings, employers, job titles, dates, bullets, skills, and education appear in the right sequence.

Look for signs of trouble. A date may appear before its job title. A sidebar may appear at the end. A heading may be separated from its section. Symbols may replace letters. If the plain-text version is confusing, simplify the document and export it again.
