Use real facts only. Do not add a tool, certification, or skill because it appears in the job description. A keyword that you cannot support can create problems in an interview.

Font and margin rules

Use one of these fonts:

  • Calibri: A clean default for Word documents.
  • Arial: Simple and widely available.
  • Georgia: A readable serif option when you want a less generic appearance.

Set body text at 10 to 12 points. Use a larger size for your name and a modest increase for section headings. Keep the hierarchy consistent. For example, your name might be 16 to 20 points, headings 11 to 13 points, and body text 10.5 to 11.5 points.

Use standard margins, normally 0.5 to 1 inch on each side. One inch gives the most breathing room. Half-inch margins can help a long resume fit, but do not shrink the type until the page looks crowded.

Three layouts that can fail parsing

1. Two-column resume with a skills sidebar

A two-column design may look efficient, but the extracted order can move from the left column to the right column and then back again. Your skills might appear between unrelated experience entries. A recruiter could also see a confusing text sequence after the file is processed.

Use a single column instead. You can still keep the document compact with short bullets and consistent spacing.

2. Text-box resume with floating contact details

Text boxes let you position content precisely. They also make content less predictable for text extraction. A phone number in a floating box may be separated from your name. A summary box may appear at the end of the extracted text.

Type contact details directly into the document body. Do not use shapes as containers for headings, skills, or achievements.

3. Graphic resume with icons, photos, or visual skill bars

Icons can replace words such as phone, email, or location. A photo uses space without adding searchable career information. Skill bars communicate a rating visually, but the parser may receive no useful skill level or may miss the skill name entirely.

Write the label and value as text. For example, write Email: name@example.com, not an envelope icon followed by an address. Do not include a photo unless a specific application requires one.

How to customize it for one job

Customization does not mean rebuilding the file. Keep the same headings, font, margins, and section order. Change the content inside those sections.

Add matching skills to the Skills section if you have used them. Then revise the first few experience bullets so the most relevant work appears early.

The second version adds a real tool, a measurable result, and a clear responsibility. Do not copy a requirement word for word if your experience does not support it. Use the employer's terminology only when it accurately describes your work.
