Build an information technology resume that recruiters and ATS parsers can read. Compare formats, align dates in Word, fix headings, and pass a plain-text test.

An information technology resume should use a simple reverse-chronological layout, standard section names, consistent MM/YYYY dates, and plain text that survives parsing. Put your latest relevant role first. Keep design elements out of the content the ATS must read.

The right layout helps two readers at once. A recruiter can scan it quickly. A parser can identify your job titles, employers, dates, skills, and education without guessing.

Choose the format before you edit

Most IT applicants should start with chronological format. It shows the progression from your current or latest role backward. This works well when your experience matches the target job.

A combination format can help when you have relevant skills from several roles, contract work, projects, or a career change. It puts a short skills summary before the work history, but still gives each role clear dates and bullets.

A functional format groups experience by skill instead of by employer and date. It can hide gaps, but that is also its weakness. Recruiters may struggle to see where you used a skill, and parsers may assign keywords to the wrong section. Use it only with a strong reason, and consider a combination format instead.

For most applications, choose chronological. If you use combination, keep the skills summary short and place the full Work Experience section directly after it.

Use a parser-friendly section order

Use this order unless the job or your experience calls for a small adjustment:

  1. Name and contact details
  2. Professional Summary
  3. Technical Skills
  4. Work Experience
  5. Projects, if relevant
  6. Education
  7. Certifications

You can move Certifications above Education when a certification is a direct requirement. Put Projects above Work Experience only when you have little professional experience or the projects contain your strongest evidence.

Use headings that state what the section contains. These labels are easy for people and software to interpret:

  • Professional Summary
  • Technical Skills
  • Work Experience
  • Projects
  • Education
  • Certifications

Do not rename Work Experience to “Where I’ve Been.” Do not call Technical Skills “My Toolbox.” Creative labels add interpretation without adding value. A parser may still extract the text, but you have made the job harder for no benefit.

Keep contact details in the main document body. Avoid putting your phone number, email, or location in a header or footer. Some systems may handle headers and footers differently from the main text.

Write dates as MM/YYYY

Use one date style throughout the file. A safe pattern is:

05/2021 to 08/2024

For a current role, use:

09/2024 to Present

Do not mix May 2021, 05-21, and 2021 to 2024. Do not use only years when the application asks for detailed employment dates. Month and year make the timeline clearer.

Place dates on the same line as the employer or job title. Keep the order predictable. For example:

Senior Systems Administrator, Northwind Services 09/2021 to Present

Systems Administrator, Northwind Services 05/2018 to 08/2021

The exact spacing above is only an illustration. Do not create that gap by pressing the spacebar many times.

Right-align dates in Word without a table

Use a right tab stop. This keeps dates aligned while leaving the document as normal paragraphs.

  1. Put the employer or job title on the left and the date on the same paragraph.
  2. Select the paragraphs that need the same alignment.
  3. Open the Paragraph dialog, then choose Tabs.
  4. Set a right-aligned tab near the right margin, such as 6.5 inches on a standard page. Adjust it to your margins.
  5. Click Set, then OK.
  6. Place the cursor between the role text and the date.
  7. Press the Tab key once. Type or paste the date after the tab.

Example in Word:

Senior Network Engineer[TAB]02/2020 to 07/2024

The date will sit against the right tab stop. If a title wraps to a second line, keep the date attached to the first line. Check the result after exporting to PDF.

Do not use a table just to place the date on the right. Do not use a text box. Do not put each date in a graphic element. Those choices can change reading order or hide content during extraction.

Build bullets that prove technical work

Your Technical Skills section should contain terms that match your real experience. Group them in readable categories:

Cloud: AWS, Azure, EC2, S3, IAM

Systems: Linux, Windows Server, Active Directory, PowerShell

Tools: Terraform, Ansible, Git, ServiceNow

Do not add a technology because it appears in the job description if you have not used it. Use the exact spelling from the posting when it accurately describes your experience. Include an acronym and its full form when both are common and truthful, such as Identity and Access Management (IAM).

A bullet should connect an action to a technical result. Compare these versions:

Before: Responsible for server maintenance and user support.

After: Automated Windows Server patching with PowerShell across 85 endpoints, reducing manual maintenance work and improving patch consistency.

Before: Worked with AWS and Terraform.

After: Provisioned AWS EC2 and IAM resources with Terraform, standardizing infrastructure changes across development and test environments.

The second versions identify the tools, the work, and the setting. Add numbers when they are accurate. Do not force metrics into every bullet.

Aim for around 4 to 6 bullets for your latest relevant role. Older roles can use fewer. A five-bullet role with specific evidence is more useful than ten vague lines.

Think of the page as a reading path. The left side should identify the role and employer. The right side should show the date. The bullets should run below in a single column.

Do this: use one column, normal paragraph text, clear white space, a readable font, and restrained color. Use bold for job titles or employer names, but keep the words as selectable text. Use a standard bullet character and consistent indentation.

Not this: use two columns for Work Experience, a sidebar for skills, icons for contact details, or colored boxes for certifications. A person may understand the design, but extracted text can run across columns in an unexpected order.

Do this: save each role as a distinct block with the title, employer, location if useful, date, and bullets grouped together.

Not this: put all employers in one column, all dates in another, and all bullets in a third. That layout looks tidy in a visual editor but separates facts that belong together.

Do this: use Work Experience, Technical Skills, and Education as headings.

Not this: use decorative headings such as My Journey, What I Know, or Learning. A clear heading reduces guesswork.

Do this: keep hyperlinks as text, such as linkedin.com/in/name or a portfolio URL.

Not this: use an icon without a visible text label. The icon may disappear during extraction, leaving no usable contact detail.

Check the file before you submit

First, follow the employer's file instructions. If the posting requests PDF, export a PDF and open it to confirm that text can be selected and copied. If it requests DOCX, submit DOCX. Keep a clean copy of the source file so you can correct alignment later.

Page length rules for IT resumes

Use one page when you have limited experience or your relevant history fits without cutting evidence. Use two pages when you have enough relevant work, projects, certifications, or technical depth to justify the space.

Do not shrink the font or margins to force everything onto one page. Remove older, unrelated details first. Keep the most relevant skills and the strongest bullets. For a senior IT applicant, two pages can be appropriate when each section adds evidence for the target role.

Avoid adding a third page for a short work history. A second page should contain useful information, not repeated tools or generic duties. If you need more space, shorten the summary, remove duplicate skills, and reduce bullets from older roles.
