Rate Resume: What to Write and What to Show

If you want to rate resume quality before applying, check three things first: whether the ATS can read the file, whether the content matches the job description, and whether your bullets prove the skills you claim. A strong resume makes all three clear without relying on design effects or vague wording.

There is no universal employer score or public cutoff to chase. Your goal is a readable, relevant file that a recruiter can understand after the ATS parses it.

What it means to rate a resume

A useful resume rating has four parts:

A checker can help identify likely gaps. It cannot reproduce every employer’s ATS configuration or prove that a recruiter will respond. Treat the result as an editing signal, not a hiring prediction.

Worked example: rate resume content against a job

Suppose the target job asks for:

• Salesforce administration
• workflow automation
• user training
• data quality
• monthly reporting

The candidate has done this work, but the first draft is too general.

Before

Managed Salesforce for the sales team and helped improve processes.

This bullet has a relevant platform, but it does not show the work clearly. “Managed” and “improve processes” leave several questions open. Did the candidate build workflows? Train users? Fix data? Produce reports?

After

Administered Salesforce for 85 sales users, built workflow automation for lead routing, trained new users, and cut duplicate records by 28% through monthly data-quality audits.

The revised bullet gives the parser and the reader more useful signals:

• Salesforce appears in a direct context.
• Workflow automation is stated as work performed.
• User training is included.
• Data quality is connected to a specific action.
• The result has a measurable figure.

Do not add terms just because they appear in the job description. Use them only when they describe work, education, or a credential you actually have. A keyword that you cannot defend may create a stronger-looking file but a weaker interview answer.

A second before-and-after example

Before:

Created reports and supported business decisions.

After:

Built monthly pipeline reports in Salesforce and Excel for sales leadership, reducing manual reporting time from six hours to two hours per month.

The second version names the tools, audience, frequency, and result. It also gives the hiring team a reason to believe the claim.

How to rate the ATS parsing

Start with the file. A PDF can be ATS-readable, but the extension alone does not prove that the text will be extracted correctly. Check these points:

1. Select text in the PDF. If you cannot select words, the file may be an image rather than readable text.
2. Copy the full document and paste it into a plain-text editor.
3. Read the pasted result from top to bottom.
4. Check that your name, contact details, headings, dates, employers, and bullets remain understandable.
5. Look for missing symbols, scrambled columns, repeated text, and dates separated from the jobs they belong to.

Use standard headings such as Summary, Experience, Education, Certifications, and Skills. Avoid putting essential details only in a header, footer, sidebar, image, chart, or icon. A decorative layout may look good in a visual preview while producing poor extracted text.

A single-column layout is usually easier to inspect. If you use columns, test the final PDF carefully. Make sure the reading order matches the order you expect a recruiter to follow.

How to rate keywords without stuffing

Compare the job description with your resume in four passes:

1. Find must-have skills

Look for repeated requirements, named tools, certifications, methods, and deliverables. Separate requirements you meet from those you do not.

2. Match the wording where it is accurate

If the job says “customer relationship management,” and your experience uses “CRM,” you can include both when truthful: “CRM, including Salesforce.” This helps with terminology differences without repeating the same phrase unnaturally.

3. Put terms in context

A skills list can confirm a keyword, but experience bullets give it weight. Instead of listing “SQL,” write what you used SQL to do if that is part of your background.

4. Remove unsupported claims

Do not copy every preferred skill into your resume. Do not claim experience you lack. If a requirement is missing, decide whether another honest example shows related ability. If it does not, leave the term out.

Use this structure when it fits:

Action + task or method + scope + result

Not every bullet needs a percentage. You can show proof with volume, time, cost, accuracy, users, revenue, deadlines, project size, or service level.

Responsible for customer support and issue resolution.

Stronger:

Resolved 45 to 60 customer tickets per day across billing and account access issues while maintaining a 96% first-response SLA.

Weak:

Worked on a website redesign.

Stronger:

Coordinated a six-page website redesign with product and engineering, rewrote 30 help articles, and reduced repeat support questions after launch.

Start bullets with clear verbs. Name the object of the work. Add scope when it helps. End with an outcome when you can prove one. Do not turn every line into a dense block of keywords.

Format choices that affect a resume rating

Keep the file simple enough to parse and fast enough to scan. Check the following:

• Use a common font and readable size.
• Keep dates consistent, such as May 2021 to March 2024 or 2021 to 2024.
• Use one bullet style throughout.
• Keep job titles, employer names, and dates visually distinct.
• Avoid text inside images and decorative graphics.
• Keep contact details in the main document body when possible.
• Use a PDF only after checking that its text can be selected and copied.
