Resume scanning software reads your resume before a recruiter may review it. To improve your chances, use a simple file, standard headings, exact job terms you genuinely match, and bullets that prove what you did. Do not chase a mystery score. Make the important facts easy to parse and easy to verify.
What resume scanning software reads first
Resume scanning software, often called an applicant tracking system or ATS, extracts text and organizes it into fields. Common fields include your name, contact details, employers, job titles, dates, education, certifications, and skills.
The software may compare those fields with the job description. A system can look for terms such as SQL, payroll processing, project management, or customer retention. It may also identify where a term appears. A skill in a dedicated Skills section is useful, but proof in an experience bullet gives the term context.
Your file still needs to work for a person. A resume packed with repeated phrases can be awkward to read and may raise questions. Use the job description as a guide, not as a word bank.
A checker on the public market can help you find possible parsing and keyword problems. It cannot give you the employer's actual Workday, Greenhouse, or other ATS result. Employers configure systems differently, and their review process may include recruiter judgment, screening questions, and other steps.
Worked example: turn a vague resume into evidence
Imagine the job asks for:
- B2B customer onboarding
- Salesforce
- renewal management
- churn reduction
- cross-functional work
- monthly reporting
The applicant has done this work but wrote a broad bullet:
Before
Helped customers after the sale and worked with different teams to improve retention.
This bullet has a general idea, but it leaves out the tool, customer type, process, and result. It also does not give resume scanning software many useful matches.
After
Managed B2B customer onboarding in Salesforce for 35 accounts per quarter, coordinated product and support handoffs, and helped reduce first-year churn by 12%.
The revised bullet works because it does four jobs:
- It names the customer context: B2B.
- It includes a relevant tool: Salesforce.
- It describes the work: onboarding and cross-functional handoffs.
- It gives measurable proof: 35 accounts per quarter and a 12% churn reduction.
Only use these details if they are true and you can explain them in an interview. If you cannot verify the 12% figure, replace it with an accurate result, scope, or time frame.
Here is another compact comparison:
| Resume element | Weak version | Better version |
|---|---|---|
| Tool | Used reporting tools | Built monthly renewal reports in Salesforce and Excel |
| Task | Managed projects | Coordinated a six-week product launch across marketing, sales, and support |
| Result | Improved service | Cut average response time from 18 hours to 9 hours |
| Skill | Good communicator | Presented weekly risk updates to client and internal teams |
The better versions do not rely on adjectives such as excellent or successful. They show the work through a tool, scope, action, or result.

What to write in each resume section
Contact line
Use selectable text for your name, email, phone number, city, and LinkedIn URL. Do not put essential contact details inside a header or footer if your document tool may hide them from text extraction.
Use a professional email address. Keep the line simple. You do not need a photo, icons, or a full street address for most applications.
Summary
Write two or three sentences that match your actual background. Include your level, function, industry if relevant, and one or two job terms you can support below.
Weak:
Motivated professional seeking an exciting opportunity to grow.
Better:
Customer success manager with six years of experience in B2B onboarding, renewal management, and Salesforce reporting. Managed portfolios of up to 80 accounts and partnered with product teams to reduce customer issues.
The second version gives the reader searchable information. It also creates a claim that the experience section must support.
Skills
Use a plain list or short grouped lines. Match the job description's spelling when it is accurate. For example, write both the full term and abbreviation when useful: Search Engine Optimization (SEO), Customer Relationship Management (CRM), or Key Performance Indicators (KPIs).
Do not list software you have never used. Do not copy a long list of nice-to-have tools just to increase keyword count. A short, defensible list is stronger than a crowded one.
Experience
Start bullets with specific verbs. Include the work, method, scope, and outcome when available. Use the same job title wording as the posting only if it remains truthful. You can clarify an internal title with a common equivalent in parentheses, such as Operations Specialist (Project Coordinator).
A useful pattern is:
Action + task or problem + tool or method + scope or result.
Example:
Automated weekly inventory reports with Excel Power Query, saving the operations team six hours per week across three warehouses.
Do not force every bullet to contain a percentage. Volume, time, budget, team size, customer count, error rate, or delivery date can also prove scale.
Education and certifications
Use clear labels and consistent date formatting. Write certification names in full when they are relevant to the job. Put the issuing body and completion date nearby if the job asks for them.
Format choices that help parsing
Use a single-column layout for the safest result. A two-column resume may work in some systems, but reading order can vary after extraction. Avoid tables for core experience details, text boxes, graphics, logos, skill bars, decorative icons, and scanned pages.
Use familiar headings such as Summary, Skills, Experience, Education, Certifications, and Projects. A creative heading such as What I Bring may look attractive, but it gives the parser less certainty about the section.
Choose a common font, readable size, and strong contrast. Keep dates in a consistent format, such as Jan 2022 to Mar 2024 or 2022 to 2024. Check that the exported PDF lets you select and copy the text.
A plain-text paste test is fast. Open the PDF, select all, copy, and paste into a basic text editor. Read the result from top to bottom. If columns are mixed, bullets vanish, dates attach to the wrong employer, or contact details disappear, revise the file.
Run the file through the ATS resume checker with the same job description you plan to use. It accepts a resume PDF, reports a match score, and identifies missing keywords and gaps. The PDF is scanned for the result and is not saved to an account. Treat the result as a diagnostic, not as an employer score. If you want a tailored draft from your real profile, you can also paste the job into YourUnique.cv.
Use keywords without keyword stuffing
Start with the job description. Mark terms that describe required responsibilities, tools, certifications, methods, and outputs. Separate must-haves from nice-to-haves. Then check which terms your work supports.
Place a supported term where it belongs:
- Use a tool in Skills and in a bullet that shows how you used it.
- Use a responsibility in the summary or experience section.
- Use a certification in the Certifications section.
- Use an industry phrase in a bullet that proves the related work.
Use the employer's spelling when practical. If a posting says accounts receivable, do not rely only on AR. You can write Accounts Receivable (AR) once, then use the shorter form where natural.
Do not repeat a keyword in every bullet. Repetition can make the document harder to read and does not create experience. If you have a gap, decide whether it is a real skill you forgot to mention or a skill you do not have. Add the first. Do not invent the second.
If you are unsure whether a role fits, use Resume Tracking System: What to Write and What to Show for a practical explanation of parsing, matching, and review steps.
A short resume scanning checklist
Before you upload the file, check each item:
- The PDF text can be selected and pasted in the right order.
- Your name, email, phone, and LinkedIn URL are selectable text.
- You used standard headings for the main sections.
- Your target job terms appear where your experience supports them.
- Tools, certifications, and methods use accurate names.
- Every important skill has proof in an experience, project, or education entry.
- Dates and job titles are clear and consistent.
- You removed images, charts, skill bars, and decorative text boxes.
- Your bullets state actions and show scope, results, or both.
- You reviewed the pasted plain-text version.
A tailored resume does not need to include every phrase from the posting. It needs to make the right evidence visible. That means selecting the strongest relevant work, not rewriting your history to fit a keyword list.
YourUnique.cv can build a CV from your profile facts and a job description, keep your existing layout or use a built-in template, and provide an ATS read against that job. Check every generated line. The final file must remain accurate.

Questions
- What does resume scanning software look for?
- Resume scanning software looks for readable text, standard section headings, job-related keywords, dates, job titles, skills, and evidence in your experience bullets.
- Can resume scanning software reject a qualified candidate?
- It can make information harder to find when a file has complex formatting, missing job terms, unclear headings, or image-based text. No public checker can predict an employer's exact screening result.
- How do I test my resume before applying?
- Use the [ATS resume checker](https://yourunique.cv/free-tools/ats-resume-checker) with your resume PDF and the job description. Review its missing keywords and gaps, then verify every suggested term against your real experience.
- Should I add every keyword found in a job description?
- No. Add a keyword only when it accurately describes your experience, training, tools, or work. Do not claim a skill or result you do not have.
- Can YourUnique.cv help tailor a resume?
- [YourUnique.cv](https://yourunique.cv) can create a CV from your profile facts and a job description, then provide an ATS read against that job. It does not prove how an employer's Workday, Greenhouse, or other system will score the file.
