The repair sequence

1. Save the source file safely

Make a copy of your current resume. Keep the original unchanged. Name the working file with your name, target role, and version.

A useful format is:

FirstName-LastName-Target-Role-Resume.pdf

Avoid names such as resume-final-final2.pdf. A clear filename helps you select the right file when applying and makes later revisions easier.

2. Use the requested file type

Read the application instructions before exporting. If the employer requests DOCX, submit DOCX. If it requests PDF, submit PDF. If there is no instruction, use a clean, text-based file and test it.

Do not submit a scanned image of your resume. A scanned page may look perfect to you but contain little or no selectable text. Do not password-protect the file.

If you use a PDF, select text with your cursor. Copy a section into a basic text editor. If nothing copies, repair the export before applying.

3. Remove columns, tables, and text boxes

Two-column layouts can place your work history in the wrong reading order. Tables can split a job title from its dates or put skills into unrelated cells. Text boxes, sidebars, icons, headers, and footers can also be missed or read out of sequence.

Use one main column. Put contact details in the document body, not only in a header or footer. Use ordinary paragraphs and bullet points. A simple layout is easier to inspect and edit.

4. Rename headings with standard labels

Use headings that describe the section clearly. A creative label such as “My Story” may be readable to a person, but “Professional Summary” gives the section a more direct meaning.

Keep each heading with the content that belongs under it. Do not bury skills in a graphic or place dates in a separate visual element.

5. Add a focused skills block

Place a plain-text Skills section below the summary or near the top of the resume. Include tools, methods, systems, and job-specific abilities you genuinely use.

Example:

Skills: SQL, Excel, Power BI, financial modeling, variance analysis, dashboard reporting, stakeholder communication

Use the exact spelling from the job description when it accurately matches your experience. You can include both an abbreviation and its full form when useful, such as Customer Relationship Management (CRM).

Do not turn the skills block into a keyword wall. A recruiter should be able to find evidence for important skills in your work history.

6. Choose 8 to 12 keywords from one job

Do not optimize for every job at once. Pick one target posting. Mark terms in four groups:

Select 8 to 12 terms that match your background. Put a few in the summary or skills section. Place the rest beside proof in your experience section.

For example, if the posting asks for Salesforce, pipeline reporting, lead qualification, and account planning, do not list all four without context. Write a bullet that explains what you did and what changed. Use the terms only if they are true.

7. Rewrite five bullets with numbers

Pick five bullets that relate most closely to the target role. Replace task-only wording with an action, method, and result. Add a number when you have one.

Use real figures only. If you cannot disclose an exact amount, use a defensible range, percentage, volume, or time reduction. Never invent an outcome to force a keyword into a bullet.

8. Check the order of every experience entry

Use a consistent pattern:

Keep dates as text. Use the same date style throughout. Put the title and company in the main text flow. Avoid placing dates in a separate narrow column.

A parser should be able to identify where one job starts and ends. Your reader should not need to reconstruct the timeline from design clues.

9. Run the plain-text parsing test

This test takes two minutes.

  1. Open the exported file.
  2. Select all text.
  3. Copy it.
  4. Paste it into a plain-text box, such as a basic text editor.
  5. Read from top to bottom.
  6. Check the order of your name, summary, skills, jobs, dates, bullets, education, and certifications.

Look for these failures:

  • A sidebar appears between the summary and experience.
  • Job dates appear far from the related employer.
  • Bullets lose their first words.
  • Skills appear in the middle of a work entry.
  • Contact details disappear.
  • Symbols replace letters.
  • Headers or footers contain important information that is missing.

If the pasted text is confusing, return to the source document. Remove the layout element causing the problem, export again, and repeat the test.

10. Run a targeted file check
