The short answer: a resume tracking system reads your file for text, sections, job-related terms, and evidence. Use a simple layout, standard headings, truthful keywords from the job description, and bullets that prove what you did. Then check the saved PDF by copying its text into a plain-text document.
This matters when you apply on a company site or through LinkedIn Easy Apply. Your resume may be parsed before a recruiter reviews it. A clean document gives the system usable text. A targeted document gives the reviewer a reason to keep reading.
What a resume tracking system reads
A resume tracking system, often called an applicant tracking system or ATS, can collect applications and turn resume files into searchable records. Employers use different systems and settings. No public checker can prove exactly how a particular employer's system will handle your file.
In resume terms, focus on four inputs:

A parser may identify your name, contact details, employers, titles, dates, education, and skills. It may also connect terms in the job description to terms in your file. That does not mean you should repeat a phrase in every section. Repetition can make the resume hard to read.

Worked example: turn a job description into resume evidence
Suppose a job description for a marketing operations coordinator asks for:
- HubSpot and Salesforce
- Email campaign reporting
- Lead segmentation
- Cross-functional project coordination
- Data accuracy and process improvement
You have used HubSpot and Salesforce, built weekly reports, segmented leads, and coordinated launches. You have not used every tool listed in the job description. Do not add tools you have not used.
Weak version
Marketing Coordinator
Managed marketing campaigns and helped the team with CRM tasks. Responsible for reports and projects.
This version has some relevant ideas, but it gives the parser and recruiter little detail. “CRM tasks” does not name the tools. “Helped” does not explain your contribution. There is no result or scale.
Stronger version
Marketing Coordinator

The stronger version names the tools and responsibilities. It also shows scale, actions, and outcomes. If you know a measured result, use it. If you do not, describe the work accurately instead of inventing a percentage.
Before and after snippet you can mirror
Before
- Worked on customer data and reports.
- Helped with email marketing projects.
After
- Audited customer records in Salesforce and corrected duplicate fields before weekly pipeline reporting.
- Built email campaign reports in HubSpot and shared performance trends with marketing and sales stakeholders.
Use this pattern:
Action verb + task + tool or method + scope, result, or purpose.
The result does not need to be dramatic. “Before weekly reporting” explains why the task mattered. “For 18,000 leads” explains scope. “With sales and design” shows coordination.
How to choose keywords without stuffing
Start with the job description. Separate terms into three groups:
- Must-have skills, certifications, and qualifications.
- Tools, platforms, methods, and technical terms.
- Nice-to-have experience and domain language.
Put a true must-have in the most relevant place. A technical tool belongs in Skills and in an Experience bullet if you used it at work. A certification belongs in its own section or beside the relevant qualification. A method belongs in a bullet that shows how you applied it.
Use the employer's wording when it is accurate. For example, if your resume says “customer relationship management platform” and the job says “Salesforce,” write “Salesforce” when Salesforce is the platform you used. Do not change a related tool into the requested tool.

Format a resume for reliable parsing
Use a simple file before you spend time polishing it. Choose one column unless you have a clear reason to use another structure. Keep section headings visible and consistent. Use ordinary fonts and normal bullet characters. Keep dates close to each job and use the same date style throughout.
Avoid placing important information in:
- Headers or footers, where some parsers may treat it separately from the main text.
- Images, logos, icons, charts, or text boxes.
- Sidebars that interrupt reading order.
- Tables used to create the entire page layout.
A PDF can be ATS-friendly when its text remains selectable and its reading order is logical. The file extension alone does not prove that. Follow the employer's requested format when the application gives specific instructions.
Check your contact details after export. Copy the entire PDF and paste it into a plain-text editor. Look for missing words, scrambled columns, broken dates, and symbols replacing bullets. This test does not reproduce an employer's system, but it catches visible extraction problems.

Make experience bullets carry the evidence
The Skills section helps a system find terms. Experience bullets help a recruiter verify them. Aim to connect the two.
Instead of listing:
Skills: Excel, reporting, project management, communication
Show relevant use:
- Built Excel reports from weekly sales data and presented variances to regional managers.
- Coordinated a six-week product launch across sales, operations, and customer support.
The bullets do more work because they include a task, tool or method, audience, and scope. You do not need to force every skill into every bullet. Select the five most relevant bullets for the target job and revise those first.
Do not hide relevant experience in a long keyword block. Do not repeat the job title unless it describes your actual role. If your official title was unusual, you can clarify it carefully, such as “Client Programs Lead, Account Manager,” when both descriptions are accurate and useful.
