The summary should match your actual background. If your experience is mostly help desk work, do not present yourself as a senior infrastructure administrator. Use the summary to name your strongest systems and the scale you can defend.

Notice the progression. The first role shows ownership, scale, automation, and MTTR. The second shows administration and operational controls. The earlier role connects support work to systems administration without pretending it was a higher-level job.

Match the resume to each job description

Do not send the same keyword list to every employer. Read the posting and identify:

  • Required operating systems
  • Required identity platforms
  • Named scripting languages
  • Virtualization or cloud tools
  • Backup, monitoring, and patching requirements
  • Certifications or clearance requirements
  • Soft skills tied to incidents, documentation, or collaboration

Then place the most relevant terms in the summary, skills block, and recent experience bullets. Use the employer's wording when it accurately describes your experience. For example, if the posting says “Windows Server administration,” do not rely only on the broader phrase “Microsoft infrastructure.”

Common system administrator resume mistakes

Duty lists with no result

“Managed backups” gives little context. State what you backed up, how often, how many systems were involved, or what recovery result you achieved.

Missing tools

“Managed infrastructure” is too broad. Name Linux, Windows Server, Active Directory, PowerShell, VMware, backup platforms, monitoring tools, or other systems you actually used.

A skills section with no proof

Listing PowerShell without a related bullet weakens the claim. Add the script's purpose, frequency, scale, or time saved.

Retail language left on a technical resume

If you are moving from retail support into administration, translate relevant work into technical terms without overstating it. “Helped customers” may become “resolved endpoint, account, and connectivity issues for 35 users per week” when accurate.

Technical language left on a nontechnical resume

If the target job is retail management or customer service, do not let an old system administrator version dominate. Tailor the resume to the role. Relevance matters more than listing every tool you have touched.

Decorative formatting
