ATS Template: The Layouts Recruiters See vs the Ones ATS Garbles
Choose an ATS template that parses cleanly. Learn the safest layout, fonts, headings, file rules, and customization steps for company sites and Easy Apply.
8 min readLena Park
The safest ATS template is a plain, single-column document with standard section headings and text that can be selected, copied, and read from top to bottom. Use a Word or Google Docs version, 10 to 12 point Calibri, Arial, or Georgia, and standard margins. Leave out text boxes, layout tables, contact icons, photos, and multi-column skill grids.
This format works well for applications on company sites and LinkedIn Easy Apply because the file gives the parser a predictable reading order. It also gives a recruiter a quick path through your name, skills, work history, and education.
The ATS template structure to use
Keep the document in one column. Do not use a sidebar. Put each section below the one before it.

Certifications, projects, languages, publications, or volunteer work
This order is a default, not a rule for every career. A student can move education above experience. A technical candidate can add certifications after skills. Keep the heading names familiar so both software and people can identify the sections.
Use headings such as Summary, Skills, Experience, and Education. Avoid headings that hide the content, such as What I Bring, My Story, or Where I Studied. A parser may still read them, but standard labels reduce ambiguity.

The example uses ordinary text. It does not depend on colored panels, floating objects, or visual alignment. A recruiter can skim it, and a parser can generally follow the sequence.
Font, spacing, and margin rules
Formatting should support reading, not compete with it. Use the following settings as a starting point:
| Element | Safe choice | Avoid |
|---|---|---|
| Font | Calibri, Arial, or Georgia | Decorative, handwritten, or unusual fonts |
| Body size | 10 to 12 pt | Tiny text used to force more content onto one page |
| Name | 16 to 22 pt | Image-based name graphics |
| Margins | Standard margins, about 1 inch | Narrow margins that crowd the text |
| Alignment | Left aligned | Justified text with uneven spacing |
| Headings | Plain text, consistent style | Decorative labels or symbols |
| Contact details | Typed text with separators | Icons, images, or a contact card |
| File versions | Word and Google Docs originals | A scanned image of a resume |
A 10 point body font can work when the page is dense. Do not shrink below that just to keep an extra bullet. Remove weak or repeated content instead.
Use bold sparingly for your name, job titles, and section headings. Underlining can look like a link. Keep dates in a consistent format, such as Jan 2022 to Present or 2022 to Present.
Save an editable copy in Microsoft Word format and keep a matching Google Docs version. Export to PDF only when the application asks for it or accepts it. Open the exported file and try to select the text. If the page behaves like one picture, fix the source document before applying.
Three layouts that fail parsing
1. The two-column sidebar
A common design places contact details and skills in a narrow left column, with experience in a wider right column. Visually, it looks efficient. A parser may read the sidebar first, insert skills between job entries, or combine dates with the wrong employer.
Put skills below the summary instead. Keep the full page in one reading path.
2. The table-based resume
Tables can make dates and employers line up neatly. They can also cause text to be read cell by cell, row by row, or in an unexpected sequence. Some content may be missed in extraction.
Use paragraph spacing, simple tabs, or line breaks for visual separation. Do not use a table as the hidden frame of the whole resume, even if the borders are invisible.
3. The graphic-heavy design
This layout uses a photo, logos, skill bars, star ratings, icons, colored panels, or a text box for the summary. These objects may be ignored, read as images, or separated from the related text. A skill bar also gives no reliable text value to a parser.
Write Excel or Advanced Excel as text if the claim is accurate. Do not represent it with five colored circles. Do not use a photo unless the employer specifically requires one.
How to tailor one template without breaking it
Tailoring does not require a new design for every job. Keep the structure fixed. Change the content inside the sections.
Start with the job description. Mark repeated terms, required tools, certifications, and the main work outcomes. Add accurate terms to your summary, skills section, and experience bullets when your background supports them. Do not add a skill you do not have just because it appears in the posting.
Keep the same headings and sequence. For example, do not rename Experience to Career Wins for one application. Do not move keywords into a footer or a decorative sidebar. Put each term near the evidence that proves it.
Change these items first:
- Rewrite the summary so it names the target role, relevant years, and strongest matching areas.
- Reorder skills so the most relevant tools and capabilities appear first.
- Replace weak experience bullets with the five strongest examples for this job.
- Add the employer's wording when it accurately describes your work.
- Remove unrelated details that crowd out evidence.
A useful bullet has an action, a task, and a result. For example:
Before: Responsible for weekly reports and inventory updates.
After: Reduced weekly inventory reporting time by 30% by rebuilding Excel tracking and validation steps.
The second version contains a tool, a clear action, and a measurable result. It is still plain text and keeps the section intact.
Run the file through the job description keyword extractor after you tailor it. It lists must-haves, tools, and nice-to-haves. With an optional resume PDF, it can also show which terms already appear in the file. Use the results to find omissions, not to claim experience you lack. If you want a draft from your real profile, paste the same job into YourUnique.cv after reviewing the source facts. Keep the plain-text paste test as a separate check.
The plain-text paste test
Open the finished resume. Select all text and paste it into a plain-text editor, such as Notepad or a plain text document. Read the result from top to bottom.
Check that:
- Your name appears first.
- Contact details stay together and remain readable.
- Section headings appear in the intended order.
- Job titles, employers, and dates stay connected.
- Bullets do not disappear or turn into empty symbols.
- Skills are readable as words, not visual bars or icons.
- No important information exists only in a header, footer, image, or text box.
This test does not reproduce every employer system. It exposes problems in your own file, including scrambled order, missing text, and broken symbols.
When to use a resume builder
If you have a clean source resume, you can format it yourself in Word or Google Docs. If you want help tailoring several applications, YourUnique.cv can keep your chosen layout, use a job description or job link, and create a CV from the facts in your profile. It also provides an ATS read against that job and a PDF export. Treat that read as a review signal, not as the number used by an employer's Workday or Greenhouse system.
You can also review the Microsoft Word ATS resume template for Word-specific layout decisions. The same single-column rules apply when you build the file in Google Docs.
Apply today checklist
- Save the resume as a clean Word or Google Docs file, then use the requested upload format.
- Keep one column with standard headings: Summary, Skills, Experience, and Education.
- Use typed contact details, no icons, photo, text box, table layout, or skill grid.
- Match the summary and skills to the job using only accurate claims.
- Keep the five strongest, most relevant bullets for the target role.
- Paste the file into a plain-text document and check the reading order.
- Run the final file through the ATS resume checker with the job description before you upload it.
Questions
- What is the safest ATS template layout?
- The safest ATS template uses one column with this order: name and contact details, summary, skills, experience, education, then optional extras. Use standard headings and plain text instead of design elements.
- Can I use tables in an ATS resume template?
- Do not use tables for layout. Some parsers read table cells out of order, combine columns, or miss text. Use normal paragraphs, tabs only when needed, and simple spacing.
- Should an ATS template be a Word document or PDF?
- Keep an editable version in Microsoft Word and Google Docs. Export the file type requested by the employer. If no format is specified, check the application instructions and test the PDF text before uploading.
- How can I test whether my ATS template parses?
- Upload your resume PDF to the [ATS resume checker](https://yourunique.cv/free-tools/ats-resume-checker) and paste the job description. It reports a match score, missing keywords, and gaps, but it is not a Workday or Greenhouse score.
- Can YourUnique.cv create a tailored ATS resume?
- Yes. [YourUnique.cv](https://yourunique.cv) can use your resume or optional LinkedIn URL, your selected layout, and a job description to draft a CV from your profile facts, then provide an ATS read against that job.
