ATS Tester: Step by Step for 2026 Applications

The sequence below is designed to finish in one sitting. It does not rely on an invented score cutoff. A resume can receive a good result in a public checker and still need review by a recruiter. The reverse can also happen.

The ATS tester repair sequence

1. Save the right file

Read the application instructions first. Submit PDF if the employer requests PDF. Submit DOCX if it requests DOCX. If there is no instruction, use a text-based PDF or DOCX that opens cleanly and lets you select and copy the words.

Avoid these files:

  • A scanned resume saved as an image
  • A screenshot pasted into a document
  • A password-protected file
  • A file with broken characters after conversion
  • A filename such as resume-final-final2.pdf

Use a clear filename such as FirstName-LastName-Resume.pdf. Open the final file on a second device. Select a paragraph and copy it. If you cannot select the text, repair the file before you apply.

2. Remove columns, tables, and text boxes

A human can read a two-column resume quickly. A parser may read the right column before the left column, split a date from its employer, or merge unrelated sections. Tables and text boxes create similar risks.

Use one main column. Put your contact details in the document body, not in a header or footer. Remove icons that carry meaning, such as a phone symbol or star rating. Write the information as text.

3. Rename headings with standard labels

Use headings a parser and a reviewer can identify immediately. Do not make the reader guess that “Where I Add Value” means skills or that “My Story” means experience.

Keep the order simple: name and contact information, summary, skills, experience, education, certifications, and other relevant sections. Use consistent job titles, employer names, locations, and dates.

4. Build a plain skills block

Add a section titled Skills. Use ordinary text separated by commas or bullets. Group terms only when the group is clear.

Example:

Do not hide skills in an image or scatter every term across a graphic. Do not add a skill because it appears in the job description. Use only tools, methods, and abilities you can support with your background.

5. Choose one job description

Do not tailor against five jobs at once. Copy one job description into a working document. Mark each phrase as one of these:

  • Must-have skill or qualification
  • Tool, platform, method, or system
  • Responsibility or outcome
  • Nice-to-have term

Start with 8 to 12 terms that fit your real experience. Record the exact wording and any common variant. For example, a job may say “customer relationship management” while your resume says “CRM.” Use the full term once if it is accurate, then use the shorter form naturally.

6. Place the keywords where they make sense

Put a relevant term in the Skills section when it belongs there. Put it in an experience bullet when you used it. Put a qualification in the summary or certification section when you can verify it.

Do not repeat one phrase ten times. Do not copy the entire job description. Keyword repetition can make a resume harder to read and does not create experience you lack.

7. Rewrite five bullets with numbers

Pick five bullets closest to the target role. Rewrite each one so it states the action, the work, and the result. Add a number when your records support it.

8. Run the checker, then inspect the document yourself

The plain-text parsing test

This test catches many visible formatting problems without pretending to reproduce an employer's system.

  1. Open a plain-text box. Not Word. Not Google Docs. Use a basic text editor.
  2. Open the final resume PDF or DOCX.
  3. Select all, copy, and paste into the text box.
  4. Read the pasted result from top to bottom.
  5. Check that the name, phone, email, headings, employers, titles, dates, skills, and bullets appear in the intended order.
  6. Search for five job terms. Confirm that each appears as readable text.

Repair these results:

  • Contact details are missing. Move them out of the header, footer, or image.
  • The right column appears before the left. Convert the document to one column.
  • Dates are separated from roles. Put dates on the same line as the relevant position or on the next clear line.
  • Bullets become symbols or empty squares. Use simple round bullets or plain hyphens.
  • Words join together. Add spaces and export the file again.
  • A section disappears. Remove the text box or rebuild the section in the document body.

Run the test again after each export. Keep the cleanest final version.
