Convert resume to ATS format with the right section order, dates, headings, Word alignment, and plain text checks before you apply to a job.

To convert resume to ATS format, choose a chronological or combination layout, use standard section headings, write dates as MM/YYYY, and remove tables, columns, icons, and text boxes. A functional resume can hide the timeline that an ATS needs to connect your skills to specific jobs.

Choose the right ATS resume format
Your work history should be easy to follow from the most recent role backward. Most applicants should use chronological format. Combination format is useful when a skills summary supports the target job, but your employment history still needs to remain clear. Functional format is usually the weakest choice for ATS applications because it separates skills from employers and dates.

Use a parser-friendly section order
Use this order unless the job or your experience requires a small adjustment:
- Name and contact information
- Professional Summary
- Core Skills or Technical Skills
- Work Experience
- Education
- Certifications
- Projects, publications, or volunteer work when relevant
You can move Certifications or Projects higher when they are required for the role. Keep the labels clear. Use Work Experience, not Where I've Been. Use Education, not Learning History. Use Skills, not Things I Can Do.
Standard headings help both the parser and the person reviewing the file. Good choices include:
- Professional Summary
- Work Experience
- Education
- Skills
- Certifications
- Projects
- Volunteer Experience
Avoid putting important information inside a header or footer. Some systems may not read those areas as part of the main document content. Put your phone number, email, city, and LinkedIn URL in the document body near your name.
Write dates as MM/YYYY
Use one date style throughout the document. 05/2021 to 08/2024 is clear. May 2021 to August 2024 can also work, but numeric month and year dates are compact and consistent. Do not mix 2021 to 2024, 05/21 to 8/24, and May 2021 to Present in the same resume.
A work entry should look like this:
ACME SOFTWARE, Austin, TX 05/2021 to 08/2024

- Built weekly revenue reporting used by sales and finance leaders.

Use Present for a current role:

Right-align dates in Word without a table
Do not line up dates by pressing the space bar. The result changes when the font, margins, or text length changes. Do not use a table to hold the employer on the left and dates on the right. Tables can make reading order less predictable.
Instead, create a right-aligned tab stop:
- Select the lines that contain your employer and dates.
- Open the Paragraph dialog in Word. You can use the small arrow in the Paragraph section of the Home tab.
- Select
Tabs. - Enter a tab stop position near the right margin, such as 6.5 inches on a standard letter page. Adjust it for your margins.
- Choose
Rightalignment and clickSet. - Put the cursor between the employer and the date.
- Press the Tab key once, then type the date.
The line should contain one real tab, not a row of spaces:
ACME SOFTWARE, Austin, TX<TAB>05/2021 to 08/2024
In the finished document, the tab will appear as spacing. Keep the employer and date on the same line if they fit. If they do not, put the date on the next line rather than forcing a crowded layout.
Keep the file simple
A clean ATS resume does not need to look plain. It needs a stable reading order.
Do this
- Use one column.
- Use common fonts such as Arial, Calibri, Georgia, or Times New Roman.
- Use normal section headings.
- Use bullets for achievements and responsibilities.
- Use bold for job titles or employers when it helps scanning.
- Use consistent margins and spacing.
- Save a text-based PDF when the application accepts PDF.
- Keep a DOCX version when the employer requests Word format.
Not this
- Do not place two sections side by side in columns.
- Do not put your name or contact details inside a graphic.
- Do not use icons for phone, email, or location.
- Do not use a text box for the summary or skills.
- Do not use a table for the entire resume.
- Do not place keywords in white text or hide them in the file.

Think of this as a layout gallery described in text. The “do this” version has a name at the top, a normal contact line, a summary, a full-width skills section, and work entries stacked from newest to oldest. Dates sit at the right through a tab stop. The “not this” version has a left sidebar for contact details, two narrow columns for skills and experience, icons beside contact information, and a table holding each job. The second version may look polished on screen, but its reading order can break when converted to text.

Match the resume to the job description
Formatting cannot fix a resume that does not use the language of the target job. Read the posting and identify required tools, methods, certifications, and job-specific terms. Use a keyword only when it describes experience you actually have. Do not add a skill because it appears in the posting.

Check page length and content density
One page is appropriate for many early-career applicants and people with a short, focused work history. Two pages are reasonable when you have enough relevant experience, projects, leadership, or certifications to fill them with useful evidence. Do not shrink the font or margins just to force every detail onto one page.
A longer resume is not automatically better. Remove old, unrelated duties first. Keep recent roles detailed and older roles brief when they do not support the target job. Read Resume 1 Page guidance if you are deciding what to cut.
Aim for five strong bullets under a recent, relevant role when that amount of space is available. Each bullet should state an action, the work performed, and a result or useful scope. For example:
Weak: Responsible for monthly reporting.
Better: Built monthly revenue reports in Excel and reduced manual reconciliation by 6 hours per cycle.
Do not turn every bullet into a keyword list. A parser may find the terms, but a reviewer needs context. Use the job's language naturally in your summary, skills section, and relevant bullets.
Test the converted file
Before uploading, copy all text from the PDF and paste it into a plain-text editor. Check the order. Your name should appear before the summary. The job title should appear before its bullets. Dates should stay beside the correct employer. Nothing important should vanish.
Look for these failures:
- A two-column resume pasted from left to right in a confusing order.
- Dates appearing at the end of the document.
- Bullets merged into one paragraph.
- Missing phone number or email address.
- Symbols replacing words or bullets.
- Text that cannot be selected because it is an image.
Then open the PDF on a different device. Zoom in and inspect every page. Confirm the filename is professional, such as Jordan-Lee-Data-Analyst-Resume.pdf, and follow the employer's file instructions.
