Use a chronological or combination format, one main column, standard headings, clear MM/YYYY dates, and plain text that stays in the right order when copied. Choose the right resume format
The format controls how clearly your career history connects people, employers, roles, and dates. Use this comparison before changing fonts or colors.

A chronological resume is the default choice. A combination resume can work when the skills section supports the evidence in your work history. A functional resume usually loses because the parser and the reviewer need context. They need to know where and when you used a skill.

Use a simple section order
A reliable order is:
- Name and contact details
- Professional Summary
- Skills
- Work Experience
- Education
- Certifications, Projects, or additional sections that support the job
You can move Education above Work Experience if you are a student or recent graduate. Keep the section names obvious. Use “Work Experience,” not “Where I’ve Been.” Use “Education,” not “Learning Journey.” Use “Certifications,” not “Badges I Earned.”
Common headings that parsers and reviewers can understand include:

Do not hide a section under a decorative label. A creative heading may look distinctive, but it gives the parser less information about what follows.
Keep columns and layout predictable
A single-column resume is the safer format. It gives the parser one clear reading path from top to bottom. It also makes your file easier to review on a phone or narrow screen.
Two columns are not automatically rejected. The problem is reading order. A parser may read the right column before the left column, combine unrelated lines, or separate a job title from its dates. If you use columns, test the exported file carefully. When you do not know the employer's rules, use one column.
Do this, not this: layout gallery
Do this: put your name at the top, followed by phone, email, city and state, and a LinkedIn URL written as text. Place each section below the previous section. Keep job title, employer, location, and dates close together.
Not this: put contact details in a header, use icons instead of labels, or place the phone number inside a colored sidebar. Some systems may not extract that information reliably.
Do this: use regular bullet characters and short achievement bullets under each role. Keep the bullet text in the same column as the job details.
Not this: use a timeline graphic, skill bars, star ratings, logos, or a visual chart to communicate experience. A human may understand them. A parser may receive no useful text.
Do this: use consistent spacing, a readable font, and black or dark text on a white background.
Not this: use text boxes, floating shapes, decorative lines made from repeated characters, or large blocks of color that push text into unusual positions.
Do this: keep section headings and job entries in the normal document body.
Not this: put keywords, dates, or job titles in a header or footer. Those areas may be skipped or treated separately.
Write dates in a consistent format
Use month and year for each job. The clearest format is MM/YYYY, such as 04/2021 to 09/2024. You can also use “Apr 2021 to Sep 2024” if you apply it consistently. Do not mix formats such as “2021,” “04-21,” and “April 2021” across the same resume.
A job entry should look like this:

Right-align dates in Word without a table
Do not use a table to place dates at the right edge. Use a right-aligned tab stop.
- Select the job-entry lines that need the same alignment.
- Open the Paragraph settings. In Word, use the small paragraph dialog launcher, then choose Tabs.
- Enter a tab stop near the right margin, such as 6.5 inches for a standard US letter document. Adjust it to your margins.
- Choose Right alignment for the tab stop.
- Select Set, then OK.
- Put the job title and employer on the left, press Tab, and type the dates.

The date stays aligned when the line changes. Do not press the spacebar repeatedly to push dates to the right. Spaces can collapse or create uneven positions after export. Check the PDF by selecting and copying the text. The job title, employer, and dates should remain understandable in the pasted version.
Set a practical page length
Page length depends on your experience, but the file should contain enough detail to prove your fit without forcing a reviewer through repetition.
- Use one page when you are early in your career or can cover the relevant work clearly on one page.
- Use two pages when you have several relevant roles, measurable results, technical projects, certifications, or leadership experience that need space.
- Use more than two pages only when your field or seniority requires it, or when the employer requests a longer CV.
Do not shrink the font to fit one page. Do not remove useful evidence just to meet a page count rule. First cut repeated bullets, old unrelated jobs, and empty phrases. Then adjust margins and spacing slightly. Keep body text readable.
A long resume is not automatically difficult for an ATS. A disorganized resume is. Every page should follow the same heading, date, and bullet rules.
Run a plain-text and PDF check
After exporting your resume, open the PDF and inspect it visually. Then test the text path:
- Select all text in the PDF.
- Copy it into Notepad, TextEdit, or another plain-text editor.
- Read from top to bottom.
- Check that your name, contact details, headings, employers, titles, dates, bullets, and skills appear in the correct order.
- Look for missing characters, broken words, strange symbols, and duplicated lines.
If a two-column layout places Skills between a job title and its employer, change the layout. If dates disappear, move them into the document body. If bullets become unreadable symbols, replace the bullet character and export again.

Check headings and keywords against the job description
Format does not replace relevance. A clean resume can still miss the job if it uses different names for the required tools or responsibilities.
Read the job description and identify skills, tools, certifications, and role terms that you genuinely have. Use the employer's wording where it accurately describes your experience. Do not add skills you cannot support.
